What goes on a graphic design invoice
- The agreed fee for each deliverable, with the scope that was included: “3 concepts, 2 revision rounds”.
- Extra revisions beyond that scope, billed by the hour or per round as your proposal says.
- Additional deliverables: brand guidelines, social media templates, print-ready files.
- Third-party costs such as font or stock image licences and printing, at cost or with your agreed markup.
- Rush fees, if the client asked for a faster turnaround than agreed.
Payment terms designers use
The common pattern is 50% up front, 50% on delivery, or thirds for larger projects. The final invoice shows the whole fee, takes off the deposit with + Payment received and asks for the balance, usually Net 15 or Net 30 for companies. See the deposit invoice guide for the full sequence and the payment terms guide for wording.
Things to get right
- Say when the rights transfer. Many designers hand over copyright or a full licence only once the final invoice is paid. Put that in the contract and repeat it in the notes.
- Name the proposal in the reference field so the scope and price can be checked against it.
- Pass-through licences are licensed to the client, not to you, in most cases. Say whose name the licence is in.
- VAT: if you are VAT-registered, the invoice needs your VAT number and the VAT on each rate. See UK VAT invoice requirements.
