What goes on a photography invoice
- The package exactly as booked: hours of coverage and what is delivered (“8 hours, edited online gallery”).
- Extra time: additional hours of coverage, or a second shooter billed by the hour.
- Sessions sold separately, such as an engagement or headshot session.
- Travel: mileage beyond an included radius (miles in Qty, your agreed per-mile rate in Price), or flights and hotel at cost for destination work.
- Products: albums, prints, frames and USB boxes, each with its quantity.
- Licensing for commercial shoots: the usage you are granting (where, how long) as its own line or in the notes.
Payment terms photographers use
Weddings and events are usually booked with a retainer (often non-refundable under the contract), and the balance falls due a set number of days before the event or soon after it. Portrait sessions are often paid in full at booking. Commercial clients usually pay Net 30 after delivery, against a purchase order. Enter the retainer with + Payment received and the invoice shows the balance due; the deposit guide explains how the retainer, receipt and final invoice fit together.
Things to get right
- Name the event and date in the notes and the booking number in the reference field, so the client’s records match.
- Spell out the image licence. Clients often assume that paying the invoice means they own the copyright. Say what use is included.
- Products may be taxed differently from services in some places. If so, use Tax rate per line. See invoice requirements by country.
- Remind before the balance is due, not after the event. The reminder wording has a friendly pre-due-date note.
