What goes on a tutoring invoice

  • The student’s name, as well as the person paying. Bill the parent or guardian and put the student in the client details (“For: Oliver Morgan, Year 11”).
  • Lessons as one line, lesson count × rate, with the dates in the notes. If lengths differ, bill hours instead (a 90-minute lesson is 1.5).
  • Packages paid in advance as one line: “Block of 10 lessons, November–December”.
  • Extras: marking, exam entry fees paid on the family’s behalf, books or materials at cost.
  • Cancellations charged under your policy, as a separate line with the date and the percentage.
  • Travel to the student’s home, if you charge it.

Payment terms tutors use

Tutors usually invoice monthly in arrears with Net 7, or ask for a block of lessons to be paid in advance. Advance packages reduce no-shows and chasing. If a family pays for a block, give them a receipt with the receipt generator and list the lessons used on later invoices. The payment terms guide shows the due date each term gives.

Things to get right

  • Write your cancellation policy into your terms before charging for it, and quote it on the invoice line.
  • List lesson dates so parents can check them against their calendar. This avoids most queries.
  • Tax registration. Most self-employed tutors are below the threshold for charging VAT or GST, but rules and thresholds differ. If you are registered, see invoice requirements by country.
  • Keep one numbering series for all families. See invoice number formats.
