What goes on a contractor invoice

  • Fixed-price stages by name, as they appear in the contract: “Demolition and haul-away, main bathroom”. One line per stage makes partial billing easy to follow.
  • Labour as hours × rate if you bill time, with the trade if rates differ (carpentry, tiling, electrical). Put hours in Qty; quarter hours are fine (26.25).
  • Materials as one line per category, or one line “at cost, receipts attached”. If you add a markup, say so in your contract and bill materials at the marked-up price.
  • Equipment and disposal: dumpster or skip hire, tool rental, haul-away fees.
  • Permits and inspections you paid on the client’s behalf, at cost.
  • Change orders, each on its own line with its number, so the final total ties back to the signed contract plus approved changes.

Payment terms contractors use

Most renovation work runs on a deposit at signing, stage payments as work is completed, and a final invoice on completion, due on receipt or within 7–15 days. Bill each stage on its own invoice with the next number, and on the last one enter the deposit with + Payment received so only the balance is due. The deposit invoice guide walks through the whole sequence, and payment terms explained has the wording.

Things to get right

  • Quote the contract and change orders by number in the reference field and notes. Most disputes come from an unexplained difference between the quote and the invoice.
  • Sales tax depends on the state and the job. Some states tax materials, some tax certain labour, and some treat building work differently. If you need different rates, set the rate on each line with Tax rate per line. See US invoice requirements.
  • Show your licence number in your details if your state or city requires it on paperwork.
  • Attach the material receipts when you bill at cost, and say so on the line.
