Notes on the invoice: Leak under the kitchen sink traced to a failed shut-off valve; valve and supply lines replaced, tested with no leaks. Parts carry the manufacturer's warranty. Whether parts or labour are taxable depends on your state: set the rate on each line.
What goes on a plumbing or repair invoice
- Call-out or service fee, with the date of the visit.
- Labour as hours × rate. Decimals are fine: 1.5 hours, 0.25 hours.
- Every part on its own line with size and quantity: “Quarter-turn shut-off valve, 1/2 in × 2”. Clients and insurers check these.
- Surcharges for after-hours or emergency work, as their own line, if your price list includes them.
- Disposal of old fixtures or appliances, if you charge for it.
- What you found and what you did, in plain words in the notes. This is often what an insurer or landlord needs.
Electricians, appliance repairers and HVAC technicians use the same structure: call-out, labour, parts, notes.
Payment terms for repair work
Home repairs are usually due on receipt, paid by card or transfer before you leave. Landlords, property managers and commercial clients often get Net 15 or Net 30. If a customer pays on the spot, give a receipt with the receipt generator. For larger jobs priced in advance, send an estimate from the estimate generator first. Due dates for each term are in the payment terms guide.
Things to get right
- Parts and labour may be taxed differently. In some US states sales tax applies to parts but not repair labour, in others to both. Set the rate on each line with Tax rate per line. See US invoice requirements.
- Warranty: say what is covered (parts by the manufacturer, your workmanship for a period) in the notes.
- Licence or registration numbers, where your trade body or state requires them on paperwork, go in your details.
- Job numbers in the reference field let a property manager match your invoice to their work order.
