Sample music lesson invoice
A piano teacher bills a parent for November in advance: five 45-minute Monday lessons (November 2026 has five Mondays, so the invoice counts five, not a flat four), a late cancellation from October charged at half rate under the studio policy, the winter recital fee and a lesson book bought for the student at cost.
| Line | Qty | Price | Amount |
|---|---|---|---|
| Piano lesson, 45 minutes (5 Mondays in November) | 5 | $52.00 | $260.00 |
| Late cancellation, 26 October (50% of one lesson) | 1 | $26.00 | $26.00 |
| Winter recital fee, Sunday 13 December | 1 | $20.00 | $20.00 |
| Lesson book, Level 2, bought for the student (at cost) | 1 | $9.50 | $9.50 |
| Amount due | $315.50 | ||
Notes on the invoice: November lessons, paid in advance: Mondays 2, 9, 16, 23 and 30 November at 4:30 pm (five Mondays this month). The lesson on 26 October was cancelled with less than 24 hours' notice and is charged at 50% under the studio policy. Lessons cancelled with 24 hours' notice are made up in the same month.
What goes on a music lesson invoice
- The student and the instrument, under the parent who pays: “For: Mateo Delgado (piano, Level 2)”. If you teach siblings, give each child their own lesson line.
- Lessons as count × rate, with the length in the description (“45 minutes”) and the dates in the notes, so a parent can check them against the calendar.
- Cancellations charged under your policy, as their own line with the date and the percentage, never folded into the lesson count.
- Make-up lessons: say in the notes when a missed lesson is made up, so nobody thinks it was billed twice.
- Recital, exam or festival entry fees as separate lines, with the event date.
- Books and sheet music you bought for the student, at cost.
Monthly, by term or per lesson
| How you bill | The invoice shows | Due | Watch for |
|---|---|---|---|
| Monthly in advance | Next month’s lessons by date | Before the first lesson of the month | Months with five lesson days. Bill the real count, or agree a flat monthly fee in your terms. |
| By term or semester | The term’s lesson count × rate, or a flat term fee | Before the term starts, or in agreed installments | Say what happens to lessons the student misses, and give a receipt for each installment. |
| Per lesson, afterwards | Lessons already given | Net 7 or on receipt | More invoices to send and chase, and cancellations are harder to collect after the fact. |
For a whole studio, next month’s lesson invoices for every family at once makes one invoice per family from a spreadsheet. Families who pay a term in parts can get a partial payment receipt for each payment, showing the balance still owed. The payment terms guide shows the due date that Net 7 and “due on receipt” give.
Things to get right
- Put the cancellation and make-up policy in writing before you charge under it, and quote it on the invoice line.
- Make the parent the client and name the student in the client details, so the bill reaches the person who pays it.
- Tax. Whether lessons, recital fees or books are taxable depends on where you teach. If they differ, use Tax rate per line. See invoice requirements by country.
- Keep one numbering series for the whole studio. See invoice number formats.
