Sample partial payment receipt
A garage is paid for a $1,240.00 repair in three parts. This is the receipt for the second payment: $400.00 by card, after $600.00 the week before, leaving $240.00 to pay when the car is collected.
| Line | Qty | Price | Amount |
|---|---|---|---|
| Balance owed on repair order RO-5521 after receipt RCT-1188 | 1 | $640.00 | $640.00 |
| Total | $640.00 | ||
| Amount paid | $400.00 | ||
| Balance remaining | $240.00 | ||
Notes on the invoice: Second payment towards repair order RO-5521 (total $1,240.00). First payment of $600.00 on 2 November, receipt RCT-1188. The remaining $240.00 is due when the car is collected.
What a partial payment receipt should show
- The amount received this time and the date it was received.
- How it was paid, with a reference you can trace: card ending, transfer reference or check number.
- What it was paid towards: the invoice, order or job number and its full total.
- Earlier payments, with their dates and receipt numbers, so anyone can check the running total.
- The balance remaining and when it is due.
- Who received it: your business name and contact details, and a receipt number from your own series.
The second and later payments
Billpad’s receipt takes one Amount paid and works out the balance from the line total. For the first payment, the line is the whole bill. For each later payment, make the line the balance that was still owed before this payment and name the earlier receipt in it, as the sample does: “Balance owed on repair order RO-5521 after receipt RCT-1188”. The receipt then shows this payment and the new balance, and the notes keep the history.
| Receipt | Line on the receipt | Amount paid | Balance remaining |
|---|---|---|---|
| RCT-1188, 2 November | Repair order RO-5521, $1,240.00 | $600.00 | $640.00 |
| RCT-1194, 9 November | Balance after RCT-1188, $640.00 | $400.00 | $240.00 |
| At collection | Balance after RCT-1194, $240.00 | $240.00 | $0.00, stamped PAID |
Each balance is the line total minus the amount paid: $1,240.00 − $600.00 = $640.00, then $640.00 − $400.00 = $240.00. The three payments add up to the $1,240.00 bill.

Receipt or invoice?
A receipt confirms money you already have; it never asks for the rest. To ask for the next part, send an invoice: the deposit invoice guide shows a deposit invoice, its receipt and the final invoice for one job. On a final invoice, enter what was already paid under + Payment received in the invoice generator and it shows the balance due instead of the full total.
Things to get right
- Issue the receipt once the money has reached you, not when it is promised.
- One receipt per payment, each with its own number, rather than editing an earlier receipt.
- Keep the receipts with the invoice or order they belong to, so the balance can be checked at any time.
- Rent and tenancy deposits can come with their own receipt rules where you live. This template does not cover them.
