Sample rent receipt

A property manager in Albany, New York receives November’s rent for one apartment in cash: $1,450.00 for 1 to 30 November. The receipt names the tenant and the unit, the period the money covers, how it was paid, and who received it, with a line for their signature.

What a rent receipt should show

  • The date the rent was received and a receipt number from your own series, for example RENT-0112.
  • The tenant’s name and the address and unit the rent is for.
  • The period the payment covers, such as 1 to 30 November 2026, so a payment for one month is never read as another.
  • The amount received, and the balance still owed if the tenant paid only part of the rent.
  • How it was paid: cash, money order, check (with its number) or bank transfer (with its reference).
  • Who received it: the landlord or the agent, with their title and signature.

New York’s rule for cash rent asks for exactly these items: the date, the amount, the premises and the period, and the signature and title of the person who received the rent (New York Real Property Law § 235-e (NY Senate)).

How to write a rent receipt

  1. Open the receipt with the button above, or print the blank PDF and fill it in by hand.
  2. Put your name or company at the top, with the address tenants can reach you at.
  3. Under Received from, enter the tenant’s name, then the property address and unit.
  4. Add one line for the rent with the period in its description, for example “Rent, Unit 3B, 1–30 November 2026”. Add separate lines for any other charge the tenant paid with it.
  5. Enter the payment date, Paid by and the reference (check number or transfer reference; leave it empty for cash).
  6. Enter the Amount paid. When it equals the rent, the receipt is stamped PAID; when it is less, the receipt shows the balance remaining.
  7. Sign it with your name and title, then give the tenant the PDF or a printed copy and keep one yourself.

When a landlord has to give a rent receipt

Rules differ from state to state. These are the two we read in the official text; check your own state’s landlord and tenant law before relying on a template.

  • New York. A landlord or agent who receives rent in cash, or by anything other than the tenant’s personal check, must give a written receipt. A tenant who pays by personal check can ask for receipts, and the request lasts for the whole tenancy. Rent paid in person gets its receipt straight away; rent paid any other way, within 15 days of the landlord receiving it. The landlord must keep a record of cash rent receipts for at least three years (New York Real Property Law § 235-e (NY Senate)).
  • California. Anyone paying what they owe can require a written receipt from the person they pay (California Civil Code § 1499), so a tenant can ask for one whatever the payment method.

Even where nothing requires it, a receipt for every payment is the simplest record for both sides. In the US, the IRS says business records should show the payee, the amount, proof of payment, the date and a description (IRS: What kind of records should I keep). A rent receipt that follows the list above covers all five.

Partial rent and late payments

Give a receipt for what you actually received, and show what is still owed. If the tenant above pays $1,000.00 on 3 November and the rest on 10 November, that is two receipts:

ReceiptLine on the receiptAmount paidBalance remaining
RENT-0112, 3 NovemberRent, Unit 3B, November, $1,450.00$1,000.00$450.00
RENT-0113, 10 NovemberBalance of November rent after RENT-0112, $450.00$450.00$0.00, stamped PAID

$1,450.00 − $1,000.00 = $450.00, and the two payments add up to the month’s rent. The partial payment receipt template explains the same method for bills paid in three or more parts. If a late fee is due under the lease, put it on its own line so the rent and the fee stay separate.

Accepting part of the rent can affect an eviction notice in some places. That is a legal question for your state; this page does not answer it.

Security deposits and last month’s rent

Use a separate receipt for a security deposit, with its own line such as “Security deposit, Unit 3B, lease dated 1 June 2026”, so it is never mistaken for rent. Some states set their own rules for deposit receipts and where the deposit is held; we have not listed them here, so check your state’s rules before you take one.

Rent receipt questions

Is this rent receipt template free?

Yes. The blank PDF, Word and Excel copies and the online receipt are free, with no signup and no watermark. The online receipt is made into a PDF in your browser; nothing you type is uploaded.

Can I use the same template every month?

Yes. In the generator, Next № and New receipt continue from the last receipt number you downloaded or printed, so next month’s receipt gets a new number. Change the period in the rent line and the payment date.

Does a rent receipt need a signature?

Where New York’s rule applies, the receipt must carry the signature and title of the person who received the rent (New York Real Property Law § 235-e (NY Senate)). The sample puts a signature line in the notes; sign the printed copy, or type your name there for a PDF.

Can I make a receipt for rent paid by bank transfer or check?

Yes. Choose Bank transfer or Check under Paid by and put the transfer reference or check number in Transaction ref., so the receipt can be matched to the payment.

Is the Excel copy calculated?

Yes. In the Excel copy the line amounts, total and balance remaining are formulas, so entering the amount paid works out what is still owed.
